Optimising HR processes. Automation of onboarding and offboarding in practice

challenge

The client addressed the need to structure and automate onboarding and offboarding processes. Existing activities were inconsistent, manually implemented and did not allow for a real assessment of effectiveness.

The aim was to create standardised, measurable and automated solutions to support both new people in the organisation and the departments responsible for their induction and departure.

scope and purpose of the project

  • Create and implement automated onboarding and offboarding processes,
  • Identify performance evaluation indicators and implement measurement tools,
  • Analysis of current status and verification of requirements,
  • Assessment of available resources and tools in a technological context,
  • Development of an agile implementation plan and its implementation.
The project was carried out in collaboration between SkillTechTalent and an external partner, with substantive and operational input from both parties.

Diagnosis and analysis of the current state

  • Develop questionnaires and conduct anonymous surveys and interviews with staff from different departments,
  • Identify process steps and areas for improvement,
  • Collection of data on organisational requirements and constraints.

Assessment of resources and tools

  • Verification of the technical capabilities of the HR systems available in the organisation,
  • Creation of test forms and configurations in the system,
  • Assess the potential for automation and integration with other tools.

Design and implementation

  • Conduct workshops with project teams ,
  • Development of detailed process maps (pre-onboarding, onboarding, offboarding) - in two variants: recommended and tailored to the client's capabilities,
  • Implementation of surveys: onboarding after a few days and after 3 months, offboarding and Exit Interview,
  • Automate the distribution of HR documents and checklists across the organisation's systems.

Extension of the process to the Buddy Programme

  • Develop a Buddy Programme - a systemic assignment of a mentor to new employees to support their adaptation and integration into the organisational culture.
